Multi or Single Person Approval |

The idea of an on-line approval system will probably be new to many people, but it is at the heart of the WorkFlow System. Put simply, the system administrators have the power to Approve, Reject, Comment, Annotate and even physically mark up the Preview directly online without the need to download or upload anything. By clicking one of the options mentioned (see graphic below) you are given a dialogue box to enter detail of the problem, you then save the option and an e-mail is automatically sent to whoever is linked to that file telling them that an action is required and detailing whatever was entered into the dialogue box. They then make the amendment that was detailed and upload a corrected file. Again, another auto e-mail is generated informing all concerned of a new file being uploaded and the Approval cycle can continue until a file is approved. Once approved it is locked to everyone but the System Administrators. |

For a further level of security you can opt for a multi-person approval system, where more than one person must approve a file before it is locked. The WorkFlow system automatically logs who has done what and when they did it, giving a clear log of the history of every single asset in the system. As you can see from the graphic below, the traffic light colour coding of the bars above each asset is very clear and difficult to ignore. Basically, anything other than Green is not approved and needs further work. This approval system is not only for the final stages of a project, it has equal value early on for art files for instance. This way you could make sure the author et al has approved every illustration before they go to pagination. Do not forget to Preflight the Artwork once the author has approved the visual. |
