Online Schedule (recently updated)

 

The simple "Calendar" function has now been updated to a fully interactive scheduling tool with graphical Gantt views

You can now create a full project schedule on line that anyone you allow can see and interact with. Each item in the schedule is called an "Activity" and just like full project management scheduling tools you can assign people to each activity, schedule reminders and be warned prior to that activity coming due. You will even be told when the due date for an activity has passed. There is nowhere to hide.

On top of this, if that is not enough, the activities will keep track of how many hours each person is doing and not allow you do double book them. It allows for truly detailed schedule allocation of an individuals time.

When you have created a set of activities, as per the above list, they can also be viewed in a fully graphical "Gantt" chart (see below)

The colours represent the "status" of the activity (see the list view at the top of the page) and you can interactively adjust them by simply clicking and dragging the bars. You can realocate the activity to someone else just by dragging it, increase or decrease the duration of the activity and move its stop and start times.

There is even a safeguard built in, if you try to allocate them to someone who is already scheduled the system will display a warning colour.

As you can see in the illustration below, you simply give the activity a name, assign it to someone and set the due date, the duration and then the system will fit it as best as it can. After that you can fine tune it by hand as described above.

Once you have set the calendar parameters (above) you can assign the e-mail notifications. You can set a reminder (alert date) to be sent as early as you like to whichever users you like, simply by clicking on the relevant users (see below). You can also have the system send out another reminder on the day the ativity is due. If there is a green tick an e-mail will be sent if a red cross then no mail will be sent. Simple!

When an activity due date passes and the activity hasn't been marked as "completed" all those linked with the activity will get a mail telling them that a date has passed. Nothing is ever forgotten.

There is now no longer a need to send out those tedious reports. If you are involved in multiple projects, you can view the activities for all of them in a list (see below) which can then be sorted, searched and filtered to your requirements using the online tools so a "live" report is always available to anyone you give permission to see them and all your searches can be saved for quick access later on. All saved searches are personal to you, what you create will be yours and yours alone.

As mentioned above, When using the search, sort and filter functions (see below) you can save frequently used searches for future use. Once you have the view you want you can of course print the finished list using the standard print function.
