File Options Explained


As you will see, depending on your permissions as a User, there are many and varied options for each Asset. Some, available directly below the Thumbnail in the main view, but most available once you have entered the asset itself and want to manipulate and control the asset as a single unit. Some are obvious, others, not so. I have explained the, possibly, not so obvious, below the examples.

Descriptions as follows:

Annotation - Enables a user to attach an annotated PDF file to a version of the file for approval. The attached file is viewable in the history panel under the figure.

Approval - Allows users with Approval permissions to approve a file for the next stage.

Checkout - Allows a user to lock a file to further uploads whilst checking or something similar. This can obviously be performed only on the Master File. Other users can still download the file but can't put anything back until the file is either Checked in (see Checkin below) or the Checkout is canceled.

Cancel Checkout - Unlock file locked using checkout. This allows further uploads.

Checkin - Obviously the opposite of Checkout, but the only the person who checked a file out can check it back in with a new version of the File, usually an annotated version.

Comment - Allows any user with the appropriate permissions to add a comment to a file and e-mails are automatically sent to all related users detailing the comment.

The other options are pretty much "what it says on the tin". But the best way to understand these options is to DO IT and see what happens.
